Product · Deals and paperwork

Work each deal on one page, and close it once the paperwork is done.

A deal brings together the car, the buyer, the numbers, the checklist and the documents. Closing the deal is what marks the car sold, so nobody can mark it sold by hand while the deal is still open.

Checklist

5 of 7

2 required items to complete

The paperwork stays with the deal.

  • Finish the required paperwork

Owners and managers close a deal once every required checklist item is complete or N/A.

  • Keep gross with management

Owners and managers see front gross and vehicle cost on the deal.

  • Credit both people on a sale

A split deal gives each salesperson half a unit and half the gross in the report.

  • Record the buyer's trade-in

Keep the traded car's identity and lienholder with its allowance and payoff on the deal.

  • Collect documents from a phone

Send a private upload link so the buyer can return each requested document to the deal.

  • Print the buyer's order

Print the buyer, car, trade and purchase amounts from the details already on the deal.

Turn a lead into a deal, and the buyer and the car come with it.

When a lead is marked won, create the deal from the lead. It starts with the car they asked about and their customer record, matched by email or phone if they're already one of your customers.

A car can have only one open deal at a time. Closing the deal marks the car sold and takes its page down, and cancelling it moves a car in Pending sale back to the status it had before.

Enter the deal once and Motorvar works out the totals.

Enter the sale price, doc fee, tax, title and registration, other fees, trade allowance, trade payoff and down payment. Motorvar shows the total due, the front gross and a monthly payment that's clearly marked as an estimate.

Tax stays at the amount you enter, and the form reminds you to re-check it against the sale price. Motorvar works out the front gross from the numbers you enter, and only owners and managers see it.

Tax is held at the amount entered. In most states tax moves with the sale price, so re-check it against this price before writing the deal.

Credit the salesperson, or split the deal between two.

Whoever creates the deal is credited by default, and owners and managers can change it or add a second salesperson. A split gives each salesperson half a unit and half the gross in the Sales by salesperson report.

Record the trade-in with the deal.

Add the traded car's year, make, model, trim, VIN, mileage, color and lienholder, and enter its allowance and payoff with the deal's numbers. The trade prints on the buyer's order and locks when the deal closes.

Your checklist decides when a deal is ready to close.

Every new deal copies your checklist. New dealerships start with “Signed purchase agreement”, “Financing approved”, “Trade title transferred” and “Insurance verification”, and owners and managers can change the list in Settings.

Office staff, managers and owners mark items complete or N/A and attach documents to them. When every required item is done, an owner or manager can close the deal, and closing is final.

Close deal

Closing this deal is permanent. Once it is closed, its status can no longer be changed.

Confirm close deal

Ask the buyer for documents with a link they can use on their phone.

List what you need, such as a driver's license, proof of income and insurance. Motorvar emails the buyer a private upload link if they have an email address on file, or you can copy the link and send it yourself.

The buyer uploads each item from their phone and can send some now and the rest later. Large photos are resized before they're sent, and each file lands on the matching item in the deal's checklist. The link closes once everything has arrived or after 7 days, and whoever asked gets an email when it's complete.

Print the buyer's order and keep an odometer record.

The buyer's order lists the buyer, the car, the trade-in, the purchase amounts, the financing terms, the warranty and your dealer license number, with lines for both signatures.

The odometer disclosure page keeps a record copy of the mileage statement for your files. The buyer's order is a general record of the sale, so use your state's form wherever one is required, and the official odometer disclosure still goes on the title. Both printouts say so.

Work a payment forward or backward.

Start from the amount financed to get a monthly payment, or start from the payment the buyer wants. Motorvar then calculates how much you can finance, or the sale price and front gross that get you there once fees, the trade and the down payment are counted.

Keep in touch after the sale.

Add your Google review link in Settings and each buyer with an email address on file gets a review request when their deal closes, unless you've marked them do-not-contact. Reports shows how many went out and how many were clicked. About three months later Motorvar emails those buyers a check-in, and there are ready-made emails for thanking them after delivery and following up on paperwork.
