Know how long each car has been on the lot and what it's costing you.

Every car sits in one list with its status, how many days it has been in that status, what it's costing you to hold and whether its recon is done. Each row opens the car's full record.

6 vehicles, all statuses, sorted by age, oldest first.

The details stay with each car.

  • Decode the VIN first

Fill in the car's year, make, model and specifications, then check them before saving.

  • Track every status change

Follow each car from Acquired through recon and the front line to its sale.

  • Assign each recon job

Give each job a person and mark it open, blocked or complete on the car's record.

  • See daily holding costs

Owners and managers see holding costs calculated from the purchase amount, rate and daily cost they set.

  • Upload photos from your phone

Choose several photos or open your phone's camera to add pictures to the car.

  • Check each required item

Apply your readiness checklist and mark each item complete or N/A as the car gets ready.

Add a car from its VIN.

Paste the VIN and choose “Decode VIN”. The year, make, model, trim, body style, drivetrain, transmission and fuel type fill in from NHTSA's free VIN decoder.

Check them, add what you paid, the asking price and the mileage, and save. If a VIN can't be decoded, type the details in yourself. Motorvar won't save a second car with a VIN or stock number you already have.

Every car moves through the same five statuses.

A car is Acquired, In recon, Front-line ready, Pending sale or Sold, and Motorvar only offers the moves that make sense from where it is. While it's in recon, you set the stage it has reached, from Intake through Mechanical, Body/Paint and Detail/Prep to Ready.

Title status shows whether the title is in hand, sent or not received yet, along with how many days it has been since you bought the car. If a car has an open deal, closing that deal is what marks it sold.

Every recon job shows who has it and what it cost.

Each recon task sits on the car with the person doing it, and you mark it open, blocked or complete. Owners and managers can also record the vendor, the estimate and what the job actually cost.

The Recon Board shows every car in recon by stage, with its current task, who has it and how many days it has been in recon. Filter it by the person doing the work, or by vendor if you're an owner or manager. Whoever is assigned a task is notified, and owners and managers hear when one is blocked.

Motorvar adds up the holding cost on every car, day by day.

Motorvar works out floor plan interest from what you paid and your rate, and adds a flat daily cost if you set one. Each car shows its holding cost so far, what it's costing you each day, its recon spend and its projected gross at today's asking price.

A car that has sat in the same status past your stuck threshold, 30 days unless you change it, is flagged in the list and on the Command Center. Only owners and managers see these figures, on the car's record and in the inventory list. Everyone else sees the asking price and the days in stock on the car's record.

Take the photos on your phone and upload them all at once.

A car can have up to 24 photos. Pick a set from your phone or open the camera, and each photo is resized on the phone and shows its own progress as it uploads. Reorder them and choose the main photo. They stay private to your team until you publish the car.

Check off what a car needs before it goes on the front line.

Apply your readiness checklist to a car and mark each item complete or N/A. New dealerships start with “Title in hand”, “Safety inspection”, “Reconditioning complete” and “Photos taken”, and each car shows how many required items are still open.

Owners and managers edit the checklist in Settings, and you can restore the starting items whenever you like.

Print the window sticker and prepare the Buyers Guide from the car's record.

The window sticker shows the asking price, VIN, stock number, mileage and color, plus the car's web address once it's published.

The Buyers Guide worksheet records whether the car is sold as is, with implied warranties only or with a dealer warranty, along with the warranty details, so you can copy them onto the official FTC form. It says plainly that it isn't the form itself.

Take a car out of stock without losing its history.

Archive a duplicate or a car entered by mistake, with a reason and a note, and restore it later if you need it back. Archived cars drop out of your stock counts, inventory reports and public pages, and any recon money already spent on them stays in the Recon spend report.

Record a wholesale with the buyer, the date, what they paid and any fees, and undo it if it was entered by mistake. Wholesale gross shows in the Sales report beside retail. Only owners and managers can archive or wholesale a car.

See who changed what on a car, and when.

Changes to a car are saved with the person who made them and the time, and a price change shows the old and new price. Owners and managers can export a car's history.

File the car's paperwork on its record as PDFs, photos or Word documents, up to 4 MB each.

Bring your current inventory in from a spreadsheet.

Download the template or adapt your own sheet, and import up to 5,000 cars at once. Every row is checked before anything is saved, so one bad row means nothing is imported and you get a list of what to fix.

If an import was wrong, undo it. Before you confirm, Motorvar shows how many cars it will delete, archive or leave alone. Cars nobody has touched are deleted, cars your team has already worked on are archived with their history, and cars with a deal or a wholesale stay as they are.

Questions dealers ask us.

Can I check the details after decoding a VIN?

Yes. Review the decoded fields, correct anything that needs it, and add the mileage and prices before saving.

Where do we put work done by an outside shop?

Add a recon task to the car. Owners and managers can record the vendor, estimated cost and actual cost there.

Can we use our own readiness checklist?

Yes. Owners and managers edit the template in Settings, then apply it to each car.
